Meeting in Las Vegas: what it costs, and what the evening looks like.

What a two-day corporate meeting in Las Vegas costs, with sourced hotel rates and taxes, and an evening plan around the Sphere, the Strip and Downtown.

The brief this is written for

Sixty people, a one-day sales kick-off with two breakouts, one group dinner and one evening the team will talk about afterwards. Two nights on the Strip.

Las Vegas is the one city where the evening programme sells the meeting internally. Nobody has to be persuaded to attend, and the convention hotels are built for exactly this size: a ballroom for the plenary, breakouts on the same floor, and the dinner and the show within a ten-minute walk. The trade-off is that the same hotels run their own show, restaurant and resort-fee economics, so a headline room rate tells you less here than anywhere else.

The cost table below is built from the tourism authority's published room-rate figures and the Nevada tax rules a group actually pays, not from a quote. Hotels here rarely publish a day-delegate price; they quote food and beverage per person and room hire separately, and the resort fee is a line of its own. Put the resort fee, the ballroom hire and the audio-visual minimum in the brief as fixed items, and the auction compares what is left.

A two-day itinerary

How the days run.

Meeting hours, transfers and evenings as a sourcing desk would lay them out. Named venues link to their own pages; times are typical, not booked.

Day 1: arrive and set the tone

  1. Afternoon

    Check in on the Strip

Ask the hotel to hold a block on the same tower and floor range so the group is together; Strip hotels are big enough that a scattered block adds twenty minutes to every call time. Confirm the resort fee per room per night in writing, because it is charged to the guest unless the contract moves it to the master account.

  2. 18:30

Welcome drinks with the Fountains of Bellagio

The fountain shows on the lake in front of Bellagio run every half hour in the early evening and every fifteen minutes later on, and cost nothing. A drinks reception on a Strip-facing terrace nearby gives the group a first-night anchor without a ticket.

  3. 20:30

    The Sphere Experience

The immersive film in the Sphere is the show most groups now ask for. Groups of nine or more book through the Sphere's group desk rather than the public calendar, and pricing is by quote; the public single tickets vary by date and seat.

Day 2: the meeting, then the city

  1. 08:30 to 16:30

Plenary and two breakouts in the hotel

Ask for a fixed per-person food and beverage price covering two breaks and lunch, and a separate line for room hire and the in-house audio-visual minimum. Nevada charges sales tax on the food and beverage, and hotels add a service charge; both belong in the fixed package so the hotels compete on the rest.

  2. 17:30

    High Roller at The LINQ

A 30-minute rotation of the 550-foot observation wheel with the whole group in adjoining cabins is a standard corporate booking. The Happy Hour cabins with a bartender are limited to adults and priced above the standard ticket; group and private-cabin bookings run through Caesars.

  3. 19:30

    Dinner and a Cirque show

O at Bellagio remains the reliable group choice: a resident production in its own theatre, dinner in the same building beforehand, and group sales that can block a section. Ticket prices are set per performance and are not published as a flat rate.

Day 3: Downtown before the flight

  1. Morning

The Mob Museum or the Neon Museum

Both are Downtown, twenty minutes from the Strip by coach, and take about ninety minutes. The Neon Museum's boneyard of restored signs is the better group photograph; the Mob Museum is the better story. Both sell timed tickets online and offer group rates on request.

What it costs

Published prices, with their sources.

Every figure below is one we read on the linked page on the date shown, in the currency it is published in. None is an estimate of ours, and none is a quote: the tender sets your price, and hotel group rates come in below the citywide average in most weeks.

What the table leaves out, and why

  • The Sphere, the High Roller and O do not publish a flat ticket price; each is priced per date and seat, and group blocks are quoted. We have linked their official pages rather than print a number that would be wrong next week.
  • Resort fees are set per hotel and not published city-wide. Ask for the figure per room per night in the brief and decide whether it sits on the master account.
  • No Las Vegas convention hotel we checked publishes a day-delegate rate. Expect a per-person food and beverage price plus separate room hire and an audio-visual minimum.

Prices change; if a figure above is out of date, the linked page is the authority. How hotels build a per-person price is explained in our day delegate rate guide; the RFP template fixes the items that make quotes comparable.

Questions

Budgeting a meeting in Las Vegas

What buyers ask about the cost side of this city. The venue detail is on the destination page.

Why is the room rate only part of the Las Vegas price?
Because the resort fee, the ballroom hire, the audio-visual minimum and the food and beverage service charge are each priced separately, and each hotel sets its own. A brief that fixes those as line items lets hotels compete on the total rather than on a headline rate that excludes them.
Can the show and the dinner go into the hotel tender?
Yes, when the hotel owns the venue. Bellagio can price O and a pre-show dinner alongside the meeting; a hotel that does not own the show cannot. Say in the brief which evening elements the hotel may quote and which you will book direct.
When is Las Vegas expensive for a meeting?
Major trade-show weeks, when convention attendance in a single month can exceed half a million people and citywide rates rise with it. Midweek dates outside those weeks, and the summer months, are where group rates fall furthest below the citywide average.
