Meeting venuesNew York, United States

Compare meeting venues in New York on one brief.

New York hotels quote a room rental that may be waived against a food-and-beverage minimum, add a service charge of 22 to 25% and an administrative fee, then add state and city taxes at different rates to different lines. Two quotes with the same headline can be a third apart on the invoice, and the room block behind them adds resort fees and occupancy taxes of its own.

How New York hotels quote

Same brief, different quotes.

Room rental against an F&B minimum, per-person catering, and per-item AV, all in US dollars, plus a service charge and often an administrative fee, plus New York sales tax and hotel occupancy taxes and fees per room per night. We fix every offer to a fully inclusive total before hotels quote.

We fix all of that into one per-person package, in USD, before any hotel quotes. Hotels then compete on a number that means the same thing in every offer, and the rank you see is the rank of what you would actually pay.

What moves prices in New York

UN General Assembly week in September fills Midtown East at any price. Fashion Weeks in February and September, the Marathon in early November, Thanksgiving to New Year and Javits Center shows each spike their weeks. January to mid-February and July to August are the buyer's months.

Market conventions, tax treatment and event dates as understood in September 2026 from published sources; they change. Every offer in an RFPVenue contest states its own tax, service and fee basis, and that is what you compare on. New to these conventions? Where to hold it

Where New York meetings actually happen.

The hotel clusters buyers use, and what our sourcing desk would tell you about each before the brief is fixed. Name a district in the brief or let the field decide.

  • Midtown East & Park Avenue

The corporate headquarters belt. Grand hotels with boardrooms and ballrooms, and the highest rentals in the country.

  • Midtown West & Times Square

The largest conference hotels in the city, built for scale and priced by the convention calendar.

  • Downtown & Financial District

The banks and the new luxury hotels. Quiet at weekends, so Friday-to-Saturday offsites are cheaper here.

  • Hudson Yards & Chelsea

The new business district. Recent hotels with modern conference space and competitive pricing.

Figures are each hotel's published maximum for the layout, read on the date shown below; they shrink once staging, AV and catering are in the room, and hotels change them. Confirm capacity against your brief before you rely on it. For a meeting of 20 to 120 people the largest ballroom is rarely the right room; the number of meeting rooms tells you more about breakout capacity.

  1. 01

    One package, fixed first

Room, breaks, lunch, AV, bedrooms, taxes, service and cancellation terms are locked before any hotel sees the brief. Every quote means the same thing.

  2. 02

    Comparable hotels only

We invite properties that match the brief on capacity, standard and location, including any you name. A round needs at least three comparable offers to open.

  3. 03

    A live contest

Hotels see their own rank and the price to beat, never each other. Prices can only fall. You award on best value and are under no obligation if nothing fits.

  4. 04

    A figure finance can file

The awarded total against the average of confirmed comparable offers, hashed and printable. The booking contract stays directly between you and the hotel.

Questions

Booking a meeting in New York

What buyers ask us about this city first. Anything else, put it in the brief.

What is an F&B minimum and why does it matter?
The hotel waives room rental if your catering spend reaches a set figure. It is an incentive to spend, not a saving. We fix the catering specification first, then compare the true total, so a low rental cannot hide a high minimum.
How large are the taxes and fees on a New York meeting?
Service charge, administrative fee, sales tax and occupancy taxes together add roughly 35 to 40% to a headline room block and a quarter or more to catering. We rank on the inclusive total.
Do you source in New Jersey or Westchester for a cheaper alternative?
Yes. Jersey City, Newark Airport and the Westchester conference hotels are sourced on the same fixed package and frequently win on the inclusive total.
