Meeting in Vienna: what it costs, and what the evening looks like.

What a two-day board meeting in Vienna costs, with published conference-package and ticket prices, the 2026 city tax change, and an evening at the opera or Schönbrunn.

The brief this is written for

Twenty-four people, a board and leadership offsite over a day and a half, one private dinner, one cultural evening the partners are invited to. Two nights in the first district.

Vienna is the city buyers choose when the evening has to say something about the company. Nothing here is loud: a private tour of the imperial apartments, a box at the State Opera, dinner in a palais, a Heuriger on the city's edge. The hotel side is just as settled. Austrian hotels quote a Tagungspauschale, a per-person conference package that includes the room, the technology, the breaks and lunch, so the quotes are already comparable before we start.

Two things move the price in 2026. The city tax on overnight stays rises from 3.2% to 5% of the net room rate on 1 July 2026 and to 8% a year later, so a quote dated before July and a stay after it will not match. And Vienna's average room rate has climbed to about €211, driven by the four- and five-star stock that makes up most of the city's rooms. The table below gives the published figures with their sources.

A two-day itinerary

How the days run.

Meeting hours, transfers and evenings as a sourcing desk would lay them out. Named venues link to their own pages; times are typical, not booked.

Day 1: arrive and open the offsite

  1. Afternoon

    Airport to the first district

The City Airport Train runs non-stop from the airport to Wien Mitte in sixteen minutes, and the S7 suburban line does the same route for the price of a normal ticket. For twenty-four people with luggage, two minibuses booked through the hotel are usually simpler than either.

  2. 16:00 to 18:30

    Opening session in the hotel

Ask for the hotel's half-day Tagungspauschale for the afternoon and its full-day package for tomorrow; the two together are how Viennese hotels expect a day-and-a-half to be quoted.

  3. 19:30

    Vienna State Opera

The season runs September to June with a different opera most nights. Seats are sold in price categories that vary by production, and group bookings go through the opera's own sales office; the cheapest way in is a standing place, which is not what a board wants, but it is what a junior team remembers.

Day 2: the full day, then Schönbrunn

  1. 08:30 to 16:00

    Full-day conference package

A Viennese full-day package normally covers the room, standard technology, two coffee breaks with fruit and snacks, conference drinks and a three-course business lunch. Anything beyond that, such as a second room for breakouts or a projector upgrade, is priced on top, so name it in the brief.

  2. 17:00

    Schönbrunn Palace

The Palace Ticket covers the imperial apartments and state rooms on the piano nobile with an audio guide, about seventy-five minutes. Groups can book a guided slot; the gardens outside are free and are where the group photograph gets taken.

  3. 20:00

    Private dinner at a Heuriger

The wine taverns in Grinzing and Neustift am Walde serve their own wine and a cold-and-warm buffet in a garden or a vaulted room, and most will take a private group of this size. It is the least formal evening Vienna offers, and the one guests from abroad ask to repeat.

Day 3: a morning before departure

  1. 10:00

    Spanish Riding School, morning exercise

The Lipizzaner stallions train to music in the baroque Winter Riding School for about an hour most weekday mornings. Tickets start at €17 and can be bought for a group; it finishes in time for a noon flight.

Every figure below is one we read on the linked page on the date shown, in the currency it is published in. None is an estimate of ours, and none is a quote: the tender sets your price, and hotel group rates come in below the citywide average in most weeks.

What the table leaves out, and why

  • The State Opera prices every performance in categories that differ by production, so there is no single ticket price to quote. Group bookings are by request to the opera's sales office.
  • Heuriger dinners are priced per group by the tavern and not published; expect the wine to be theirs and the buffet to be the menu.
  • Public transport and airport-train fares changed on 1 January 2026 and Wiener Linien publishes current prices only inside its ticket shop, so we have not quoted them.

Questions

Budgeting a meeting in Vienna

What buyers ask about the cost side of this city. The venue detail is on the destination page.

What does a Tagungspauschale include, and what does it leave out?
The room, standard technology, two breaks, conference drinks and lunch, priced per person per day from a minimum group size, usually ten. Breakout rooms, upgraded audio-visual, dinner and anything alcoholic are extras. Because every Viennese hotel uses the same structure, the quotes compare well once the extras are fixed in the brief.
Does the July 2026 city tax rise affect a booking made before it?
The tax is charged on the stay, not the booking date, so a stay after 1 July 2026 pays 5% of the net room rate and a stay after 1 July 2027 pays 8%. Ask hotels to state the tax as a separate line so the quotes stay comparable across the change.
Is the opera realistic for a corporate group?
Yes, with notice. The house sells to groups through its own office and the season is published a year ahead. A block of seats in the same category for twenty-four people is normal; a box for the board is possible on some nights and not others.
